Your employer's records. If your employer uses WhenShift, your shifts, hours, wages and the rest of your work record are your employer's, and we keep them for your employer. Ask your employer to see or correct them. If you write to us about them, we pass your request to your employer. You can delete your own WhenShift login at any time; your employers keep their records of your hours.
What we collect, why, and how long we keep it.
| What | Why | Kept |
|---|---|---|
| Pages you view on our site, with the edition and page; the sign-up or support buttons you press; your cookie choices | To see which pages help people decide, and to keep your choices | [Site statistics retention] |
| The ad click you arrived from (Google's click identifiers) | To tell Google which ads lead to sign-ups and payments | Dropped from the site 90 days after you arrive; kept on your account if you sign up |
| What you write to support | To answer you | [Support conversation retention] |
| Your name, email, phone number and how you sign in (Google, an email link or a code by text) | To create your login and sign you in | Until you delete your login |
| Your business's name, locations and address | To set up your account and its country's rules | While the account is open, then 90 days |
| Billing details and invoices | To charge the subscription; your card goes to Polar, and we never see it | [Billing record retention] |
| Whether you agreed to news and offers, and when | To send them only if you agreed | While your agreement stands |
You need a way to sign in and your first location to create an account. Agreeing to news and offers is never a condition. We make no decision about anyone by automated means alone.
Sign in with Google. When you sign in with Google, Google gives us your name, email address and Google account identifier. We use them only to create your login and sign you in, and never for ads or to sell.
| Tag | What it does | When it runs |

In Canada outside Quebec, on your visit until you turn it off. In Quebec, the UK and elsewhere, only once you turn it on |
| Site statistics | Counts pages viewed and buttons pressed, with nothing that follows you to other sites | In the US, Canada outside Quebec and the UK, on your visit, and in the UK you can object. In Quebec and elsewhere, only once you turn it on |

Ads on other sites. Third-party vendors, Google included, show our ads on other sites and use cookies to do so based on your past visits to our site. You can turn off personalised ads in Google's Ad Settings, at adssettings.google.com, or turn off our ad tag in Cookie choices. Our site does not respond to Do Not Track signals. Google's ad tag can follow your visits across sites where it runs, as above.
Who we share it with. The vendors that run WhenShift for us: Hetzner, which hosts it; Resend, for email; Telnyx, for texts; Freshworks, for support; PostHog, for usage analytics; Sentry, for error reports; Cloudflare, for file storage and the check that you are a person; Apple, for notifications; and Polar, for payments; Google, for Sign in with Google, notifications and ads as above; and anyone the law requires. We do not sell personal data.
Where it goes. We run WhenShift from India, and the data is stored in Ashburn, Virginia, in the United States, so it leaves Quebec, Canada and the UK. Where UK data goes to a vendor outside the UK, it is protected by the UK International Data Transfer Addendum.
Your rights. You can ask to see, correct or delete what we hold about you, to receive it in a portable form, to object to our use of it, and to withdraw any agreement you gave, at any time; write to support@whenshift.com. You can correct your own login yourself by adding or removing a way to sign in. We answer within the time your law sets.
In the UK. We use your data to give you the account you asked for (contract); to keep the service secure, measure our site and tell business customers about WhenShift (our legitimate interests in running and growing WhenShift); and for ad cookies and news and offers to sole traders and partnerships, on your consent. You can complain to us first, and to the Information Commission at any time.
In Canada. We tell you our purposes here, before we collect anything. A complaint or question goes to our person in charge of personal information, above. You can also complain to the Office of the Privacy Commissioner of Canada, or, in Quebec, to the Commission d'accès à l'information.
How we govern personal information.
- Keeping and destroying it: we keep each kind of data for the time in the table above, then delete it. A closed account is deleted 90 days after closing.
- Who does what: our person in charge of personal information answers for it and decides every request and complaint. Our support people reach a customer's account only to answer that customer, and import into it only on the customer's ask, shown in its history as support's. Everyone at WhenShift who can reach personal information is bound to keep it confidential.
- Complaints: write to our person in charge at the address above, or to support@whenshift.com. We confirm we have it, look into it, and answer you in writing with what we found and what we did.
Changes. We post each new version here with the date it takes effect, keep earlier versions linked, and email account owners about a change that matters to them before it takes effect.
